Expediting: knowing when the order actually arrives
Expediting is the work of actively confirming and updating supplier-committed delivery dates after a purchase order has been issued. It sounds clerical and is not: maintenance schedules, critical spare availability and the decision to run or stop a line all depend on that date. An unconfirmed original date is not information — it is an assumption, and most operations plan on assumptions until someone replaces them with confirmations.
The manual process has a recognizable shape in any large operation. Open orders are exported from the ERP, a spreadsheet is built per supplier, sent by email, and then everyone waits. A fraction comes back, in inconsistent formats, and someone retypes those dates into the system. The team doing this is large, response rates are low, and there is no record of who promised what or how many times the date moved.
Verdana reverses the flow. The platform identifies orders requiring follow-up and notifies suppliers by segment — overdue, approaching, non-critical, newly issued — at the cadence and through the channels each segment warrants. The supplier signs in, sees their open orders, and confirms or revises the date with a reason selected from a defined list, with no attachments and no email threads. Updates flow back to the ERP consolidated, replacing the assumption with the current committed date, and the full history stays: original date, every reschedule with its reason and notice date, and who reported it.
That history is what turns expediting from firefighting into management. A dashboard shows the open order book by criticality, supplier and age of delay, surfacing what needs human intervention rather than a flat list. Calculated ETA adds transit, forwarding and customs clearance time to the confirmed date, so planning works from real availability rather than ship date. And analysis of the reasons suppliers report separates one supplier's systemic unreliability from a structural problem in a purchasing category, feeding DIFOT and date-accuracy scorecards that make performance measurable.
